How Our Fundraising Process Works
Start Your Fundraiser
Go to our convenient “Get Started” form on this website, fill out the form, and click “Submit”. After we have received the form, one of our fundraising consultants will approve the suggested dates and email you a fundraiser confirmation. We will mail you a folder which includes enough order forms for your entire group, posters for your facility, and ten tips for a successful fundraiser page.
Kick Off Your Fundraiser
Plan on having an enthusiastic presentation to build excitement for your fundraiser. Your kick-off event may offer a perfect opportunity to utilize some fresh-baked samples to build excitement. Clearly communicate your goals, delivery date and time, and when the participants should turn in their money and orders. Pass out the order forms along with the personalized Beginning Parent Letter you downloaded from our website, and get started with the selling!
Promoting your Fundraiser
You should take advantage of any and every means to effectively communicate your fundraiser to the public. Hang your posters that have been provided in your folder, in high traffic areas of your facility. Announce your fundraiser through emails, newsletters, yard signs, your website, and/or phone trees. You may even want to check out any community forums, radio stations, newspapers, or other media outlets for cost efficient advertising. You may also want to download, edit, and use our Press Release Letter to help communicate your sale to the public.
Half-Way Through Your Fundraiser
Download and personalize our Mid-Sale Parent Letter. Often participants only sell on the first couple of days and the last couple of days of a fundraiser. This letter offers a reminder to get out and sell to help meet the goals of your organization.
Reaching the End of Your Fundraiser
Let your parents know the fundraiser is winding down by downloading and printing our deadline-parent-letter. All money should be collected on or before the End Date. You will have a couple of days before your order is due to collect any late orders. Remember, good communication goes a long way to making sure your group stays on track, so please use the letters we provide or whatever other means you have designed.
Ordering Your Product
After you have submitted your order you will be notified via email with an order confirmation from our office staff. (This can take up to two days) Please have a check available at the delivery. Click here for detailed instructions on ordering your product.
Delivering Your Product
It will be VERY important for parents to pick their order up in a timely manner. Remember, our products are frozen; however, our products can stay at room temperature for 3-4 hours and still be refrozen. It is always good to have a contingency plan for orders not picked up.
- Bring your original order forms.
- Bring bags to place your sorted orders into.
- Please have three to five tables set up (depending on the size of your order). Feel free to print off flavor signs and tape them to your table for easy sorting and identification.
- Have a few volunteers if necessary. We suggest one volunteer/150 items sold.
- We will bring your products into your facility and stack them according to flavor.
- Please choose a sorting location that is easily accessible for wheeled carts. (Preferably no stairs)
- After we have counted all of the products together to make sure everything you ordered was accounted for, we will ask you to initial the pull sheet to sign off on the product.
- Sign the invoice and we will accept the check for payment in full written to LaBraid Inc.
- You and your volunteers will then need to take your original order forms and separate your orders.
- Bring your original order forms.
- Have sufficient floor space for your order.
- Please choose a sorting location that is easily accessible for wheeled carts. (Preferably no stairs)
- You may choose to have a few volunteers if necessary to help distribute the orders.
- We will deliver your order in alphabetical order by last name with easy to read labels attached to each box.
- Sign the invoice and we will accept the check for payment in full written to LaBraid Inc.
- Have the participants verify their order with yourself or a volunteer during pick up to ensure the order is correct.
